What does the HIPAA risk assessment include?
An inventory of every system that touches protected health information, the threats to each, the safeguards in place, and the gaps with a plan to close them. It is written down, dated, and updated every year, which is what the Security Rule asks for.
How is email encrypted?
Microsoft 365 with encryption rules for messages that contain patient information, multi-factor sign-in for every account, and retention settings that match your policy. Staff do not have to remember to do anything.
What about laptops and phones that leave the office?
Full-disk encryption on every laptop, mobile device management on phones, and remote wipe. A lost device becomes a replacement order instead of a breach notification.
Do you work with our practice management vendor?
Yes. We handle the server, the workstations, and the network the software runs on, and we open the vendor ticket when the application itself misbehaves, so you do not sit between two support desks.
Will you sign a business associate agreement?
Yes. Any vendor with access to patient information should, and we do.

If the whole practice is down, a person is on it within 30 minutes during business hours. If one team or a key system, such as the front desk system, is down, within 2 hours. If one person cannot work, or you have a request, someone is on it the same business day. Questions and projects get an answer the next business day.
